1. Who we are
This website, www.pipeworkchlorination.com, is run by Environmental Compliance Services (ECS), Red Lion Avenue, Norton Canes, Cannock WS11 9QR ("ECS", "we", "us" or "our"). ECS also trades as pipeworkchlorination.com and chlorinationofwater.co.uk.
We are the "controller" of the personal information described in this notice. That means we decide how and why it is used.

2. What this notice covers
This notice explains how we collect and use personal information when you:
visit our website;
send us an enquiry through our quote form;
phone or email us; or
use us to carry out work on a site.
Most of our customers are businesses, such as M&E contractors, plumbers, developers and builders. Information about the people we deal with, such as names, work phone numbers and work email addresses, is still personal information, and this notice applies to it.
3. The information we collect
Information you give us
Quote form: your name, company name, phone number, email address, the job address, and the job details you enter. Job details include the type of work, dates, pipe details, water authority, sampling needs and your message.
Phone calls: your name, phone number and what you tell us about the job. Calls to and from our phone line are recorded (see section 4).
Email: your email address, name, the content of your email and any attachments, such as drawings or photos.
When we carry out work: site contact names and phone numbers, the site address, job records such as pressure test, chlorination and sampling records and certificates, and the details we need for invoicing.
Information from other people
A main contractor, developer or client may give us the name and phone number of a site contact so that we can arrange access and carry out the work.
Information collected automatically when you use our website
Website hosting: Squarespace, which hosts our website, collects technical information such as your IP address, browser and device type, and the pages you visit. It uses cookies that are needed to run and secure the site and to produce basic visitor statistics.
Advertising measurement: we use Google Tag Manager and Google Ads to measure how people reach our website from our adverts and whether they go on to contact us. These tools can use cookies and similar technologies, and identifiers such as an advert click ID.
We do not ask for sensitive ("special category") information. Please don't include it in your messages.
4. How we use your information and our lawful basis
What we use it for, and our lawful basis under UK GDPR:
Replying to your enquiry and preparing a quote: Taking steps at your request before entering into a contract. Where you contact us on behalf of a company, our legitimate interests in responding to business enquiries.
Arranging and carrying out the work, issuing certificates and arranging laboratory testing of samples: Performance of a contract. Where the contract is with your employer or client, our legitimate interests in delivering the work.
Recording phone calls, so we have an accurate record of job details and instructions, can resolve queries and disputes, and can check the quality of our service: Our legitimate interests.
Keeping business, accounting and tax records: Legal obligation.
Following up on a quote we have sent you: Our legitimate interests (you can ask us to stop at any time).
Keeping our website secure and working: Our legitimate interests.
Measuring website visits and how well our Google adverts work: Our legitimate interests in understanding which adverts lead to enquiries.
We do not send marketing emails. We only contact you about your enquiry, quote or job.
We do not use your information for automated decision-making that has legal or similarly significant effects on you.
5. Who we share it with
We share personal information only where it is needed to deliver our service or where the law requires it. The categories of recipient are:
Our website host, Squarespace, which hosts the website and stores quote form submissions.
Google, which provides Google Ads and Google Tag Manager, used to measure our advertising.
Our email provider, which handles the emails you send us and our replies.
The UKAS-accredited laboratory that tests water samples. It receives the sample details and site information needed to carry out and report the analysis.
Qualified subcontractors, where we use them to help carry out a job.
Water companies, main contractors or clients, when a certificate or job record has to be provided to them to sign off, hand over or connect the work.
Authorities, where the law requires us to share information.
We do not sell your personal information.
6. International transfers
Some of our service providers, including Squarespace and Google, may process information outside the UK, for example in the United States. Where this happens, the transfer is protected by the safeguards that UK data protection law requires, such as UK adequacy regulations or approved contract terms in the provider's data processing agreement.
7. How long we keep it
Our policy is to keep personal information only as long as we need it:
Enquiries and quotes that don't go ahead: 12 months from our last contact with you
Job and certificate records: 6 years from the end of the job
Accounting and tax records: 6 years
Call recordings: Up to 90 days
Website and advertising data: For the periods set by Squarespace and Google in their own services
When we no longer need information, we delete it or anonymise it. We may keep information longer if we need it for a legal claim or a legal requirement.
8. Cookies
Cookies are small files stored on your device when you visit a website.
Essential cookies: Squarespace uses some cookies that are needed for the website to work and stay secure.
Other cookies: Google Ads and Google Tag Manager may use cookies to measure how our adverts perform. Squarespace may use cookies to produce basic visitor statistics.
You can block or delete cookies in your browser settings. You can also manage how Google uses your information for advertising in your Google account settings or at https://myadcenter.google.com.
9. Your rights
You have the right to:
ask for a copy of your personal information;
ask us to correct information that is wrong or incomplete;
ask us to delete your information;
ask us to restrict how we use it;
ask us to transfer information you gave us to another organisation, where this applies; and
withdraw your consent at any time, where we rely on consent.
Your right to object: where we use your information on the basis of our legitimate interests, including call recording and following up on quotes, you can object at any time. If you ask us to stop contacting you, we will.

We use established service providers and limit access to personal information to the people who need it to deal with your enquiry or job.
